Built for Your Practice
Restructured all client data under household records in WealthBox
Audited every contact and household record. Activity, notes, and custom field data moved to the household where it belongs. This is the foundation everything else depends on.
Data Cleanup
Corrected field types across all custom fields
Date fields stored as text are now proper date type. Free-text fields converted to controlled dropdowns where a defined list is needed. Filters and reporting can now be trusted.
CRM Config
Defined and rolled out a task naming convention
Simple naming standard established across the team. The task list is now filterable and reportable. Your team has a shared queue they can actually trust.
Operations
Problems We Tackled
Data was split between contact and household records
Activity and notes were scattered inconsistently across both record types. Broke reporting and forced your team to look in multiple places. Fully consolidated under household.
Data Cleanup
Tags were holding data that belonged in custom fields
Structured information stored in tags can’t be reported on consistently. Identified 14 tags holding field-level data and began migration to proper custom fields.
CRM Config
Wins for Your Team
63 activity records moved to household level
Your team didn’t have to touch a single record. Everything was migrated and verified before the change went live.
Data Cleanup
WealthBox filters are returning reliable results
With field types corrected, filtering by date, segment, and status now works consistently. No more guessing whether your results are accurate.
Reporting
What’s on Deck
1Complete tag migration to custom fields — 8 of 14 remaining
2Rebuild workflows with outcomes, escalation, and navigation links
3Connect book segmentation to the review workflow so A clients are scheduled first
4Build the high-priority practice dashboard once data foundation is complete

A note from Josie — June was foundational work — the kind that isn’t always visible but makes everything that comes next possible. The household restructure is done, field types are corrected, and your team has a task structure they can actually work from. July is where you start feeling it.

This Month’s Highlights
Consolidated all client data under household records in WealthBox
The household record is now the hub. Activity, notes, and custom field data live where they belong. Reporting and workflows can finally be trusted.
Data Cleanup
Corrected field types and converted free-text to controlled dropdowns
Date fields, multi-selects, and free-text fields all corrected to proper types. Your data structure now matches how WealthBox is built to filter and report.
CRM Config
Task naming convention defined and rolled out to the team
One standard. Everyone follows it. The task list is now filterable and meaningful instead of noise.
Operations
What We Fixed
Data scattered between contacts and households — fully consolidated
63 activity records moved to household level. The team no longer has to look in two places for the same client.
Data Cleanup
Tags holding structured data identified and migration underway
14 tags were acting as custom fields. Data belongs in fields, not tags. Migration to proper custom fields is in progress.
CRM Config
How Your Day Gets Easier
Filters in WealthBox now return results you can rely on
With field types corrected, filtering by date, segment, and status works consistently. No more second-guessing whether your list is accurate.
Reporting
Your team has one shared standard for how work gets tracked
Task naming convention means everyone is working from the same system. No more ad hoc task creation that no one else can interpret.
Operations
What’s on Deck
1Complete tag data migration to custom fields — 8 of 14 remaining
2Rebuild workflows with outcomes, escalation, and navigation links
3Connect book segmentation to review workflow so A clients are always first
4Build the high-priority practice dashboard once the data foundation is complete

A note from Josie — June was about building the foundation right. The household restructure is done, field types are corrected, and the team has a task structure that actually works. This is the kind of month where the work isn’t always visible yet — but it’s what makes everything in July possible.
